About the Fellowship

At Successif, we want to help create a world in which everyone thrives. We believe that AI poses one of the greatest challenges humanity is facing. The AI Safety Advocacy Fellowship is a free, 12-week program designed for experts, researchers, and advocates committed to shaping AI governance and public discourse.
Whether participants are academics aiming to influence policymakers or advocates striving to engage the media, our highly personalized fellowship provides hands-on training in strategic communication, media engagement, and policy advocacy. With just three hours per week, fellows gain practical skills in framing AI safety narratives, crafting compelling op-eds, engaging with journalists, and influencing decision-makers.


 

About the Role

 

As an Operations Assistant for our fellowship program, you will provide essential administrative and operational support to ensure the smooth running of all fellowship activities. This is a remote, part-time contract position (5-10 hours per week) for a duration of 4 months. You will work closely with the fellowship coordinator and team to handle various operational tasks required for the successful delivery of the program. This role is ideal for an organized, detail-oriented individual who enjoys supporting educational initiatives and can manage multiple responsibilities efficiently.

Responsibilities

 

As an Operations Assistant for our fellowship program, you will:

  • Reach out to relevant organizations and communities to promote the fellowship program

  • Assist with filtering applications according to established criteria

  • Coordinate with participants and facilitators on scheduling and availability

  • Proofread program documents, materials, and communications

  • Create concise summaries of each unit's content for fellowship handouts

  • Manage the onboarding process for fellows in our Learning Management System (LMS)

  • Create and manage calendar invitations for all fellowship sessions and events

  • Set up and manage Zoom links for virtual sessions

  • Send timely reminders to participants regarding upcoming sessions and deadlines

  • Answer queries from fellows and provide the necessary support

  • Attend all fellowship sessions to provide real-time operational support
     


 

Qualifications

 

We're looking for an efficient and proactive operations assistant. Our ideal candidate will possess most of the following qualifications and skills:

 

  • Exceptional organizational skills and meticulous attention to detail

  • Strong written and verbal communication abilities

  • Experience with operational or administrative support

  • Proficiency with digital tools, including Zoom, Google Workspace, and calendar management

  • Ability to summarize complex information clearly and concisely

  • Proactive problem-solving approach and resourcefulness

  • Reliability and ability to meet deadlines consistently

  • Adaptability and willingness to learn new tools and processes

  • Ability to work independently with minimal supervision in a remote work environment

 

The following qualifications are not required but will represent an advantage for the candidate:

 

  • Prior experience supporting educational programs, workshops, or fellowships

  • Background in AI safety, policy, governance, or advocacy

  • Experience with event coordination or program management

  • Familiarity with common LMS platforms (e.g., Canvas, Teachable, or [your specific LMS])

Job Location

​

This position is fully remote. The candidate must have reliable internet access and be available to attend all fellowship sessions throughout the 12-week program. We prefer candidates with at least 3 hours of overlap with Central Time (US) working hours.

Compensation and benefits

​

The compensation for this contract position is $25-40 USD per hour for 5-10 hours per week over the 4-month contract period. The exact rate will be determined based on the candidate's experience and qualifications.

  • Interviews will be conducted remotely via Google Meet.

  • To minimize unconscious bias and ensure fairness, we will follow a consistent format and ask all candidates for the role the same questions in the same order. Please do not view the lack of small talk as a negative sign.

  • Interviewers may take notes during the interview, so don't be surprised if they look away or take a few seconds before asking the next question.

  • Take a moment to gather your thoughts before answering

  • Start again or amend your answers

  • Ask for a break at any point during longer interviews
